JOB DESCRIPTIONS:
Our client is urgently looking for the qualified Receptionist to start working ASAP. Pepkor Speciality requires the services of reputable Receptionist. You may apply before deadline in case you are interested and have required qualifications as short-listed below.
REQUIRED QUALIFICATIONS:
The applicant wishing to apply for this job must meet the following qualifications;
- Must have Matric
- Must have a secretarial/office administration diploma or equivalent qualification.
REQUIRED SKILLS AND COMPETENCIES:
The applicant must have the following skills and competences
- Must have a minimum of 3 years’ experience in managing and operating a busy switchboard in a corporate setting.
- Must have a proficiency in the latest Google Suite packages or Microsoft Office packages
- Having an excellent verbal and written language skills in English. The ability to converse in a second official language would be an advantage.
- Mus have strong telephone etiquette and communication skills with the ability to handle calls professionally and courteously.
- Must have excellent interpersonal skills and a pleasant, friendly demeanor, capable of building rapport with visitors and colleagues.
- Must have a strong service orientation and exceptional relationship-building and networking abilities.
- Must have ability to remain flexible and maintain a positive attitude under pressure, adapting to a variety of circumstances.
- Must have strong time management, planning, and organizational skills to efficiently handle multiple tasks.
- Must have self-motivated, reliable, and committed to meeting deadlines with attention to detail and accuracy.
- Must have professional presentation of oneself and the company at all times.
- Must have discreet in handling confidential information with integrity.
- Must have ability to communicate effectively at all levels, both within the organization and with external clients.
- Must have ability to work independently while taking responsibility for tasks and outcomes.
DUTIES AND RESPONSIBILITIES:
The successful candidate will have to implement the following duties but not limited to:
- To manage all incoming calls via the switchboard and direct them to the relevant departments or individuals.
- To greet and assist visitors with professionalism, ensuring a pleasant and positive first impression.
- To maintain the reception area to ensure it remains neat, tidy, and welcoming at all times.
- To schedule appointments and meetings and coordinate room bookings for employees and clients.
- To ensure the smooth running of daily administrative tasks, including sorting mail, handling deliveries, and managing office supplies.
- To build and maintain strong relationships with employees, visitors, and clients.
- To monitor and ensure the functionality of office equipment (e.g., phones, printers).
- To collaborate with various departments to ensure effective communication and coordination.
